Frequently Asked Questions

What is The Task Ninja?

We’re a virtual operations and admin support agency. We work as an embedded operations partner for small business owners, franchise operators, and manufacturing companies, handling the admin, financial, and systems work that keeps a business running so you can focus on growing it.

Fair question, and we hear it a lot. Most VA companies give you a person and a task list. We started there, but that’s not how we work now. We learn your business, build the systems behind it, and take ownership of the work. We also look for what’s slowing you down before you have to point it out.

A freelance VA is usually one person, hired as needed, with no backup and no one holding them accountable long term. We work on retainer as a team. You get a dedicated point of contact, the rest of our team behind them, consistent processes, and coverage when someone is out or your needs change.

We specialize in small businesses (usually 2 to 10 employees), franchise operators (single and multi-unit), and manufacturing and logistics companies of up to about 100 employees.

We don’t currently work with property management companies, PEOs, insurance agencies, real estate brokerages or agents, real estate investment companies, or financial services firms such as financial advisors and wealth managers. They’re outside what we know best.

Our team is 100% US-based and fully remote. Because we work across time zones, your coverage doesn’t depend on one person’s schedule or location

What kind of tasks can I hand off to The Task Ninja?

More than most people expect. We usually start where it hurts most, often the inbox, the calendar, or something nobody’s tracking, and grow from there. Our core services are executive and admin support, inbox and calendar management, SOPs and workflow systems, virtual team management, financial operations support, and ongoing operations oversight. We also take on one-off projects, priced by scope and hours.

Yes. Building SOPs and systems is a core part of what we do. We write down how your business runs so quality doesn’t depend on any one person’s memory.

We support financial operations like invoicing, expense tracking, and reporting, and we work closely with your bookkeeper or accountant. We don’t replace a CPA or bookkeeping firm.

We learn whatever you already use. We won’t ask you to switch platforms or rebuild your tech stack. Whether it’s a CRM, ERP, project management tool, or messaging app, we’ll get up to speed on it and fit into how your business already runs.

That’s fine. It’s how many of our best client relationships started. We offer one-off project support priced by scope and hours. If it makes sense to keep working together after that, we can talk about it then. No pressure.

How does it start?

With a discovery call. We learn about your business, what’s slowing you down, and what makes sense to hand off. Then we match you with the right team member and start onboarding.

It depends on how complex your business is, but most clients start getting time back within the first few weeks as we document processes and take over recurring work.

Every engagement is built around what you need, so we don’t publish set pricing. The best way to get a real number is to book a free strategy call and walk us through what’s on your plate. We’ll put together a plan that fits your business instead of squeezing you into a package.

Once the agreement is signed and the first payment is in, we usually start within 2 to 3 business days. Your inbox won’t wait, so we don’t either.

We’re set up for ongoing partnerships more than one-time projects, but we’ll talk through what makes sense for you on the discovery call.

Not much. Come with a rough idea of where your time goes and what isn’t getting done. We’ll ask questions to fill in the rest. It’s a conversation, not an interview.

Will I work with the same person every time?

Yes. You’re matched with a dedicated team member who learns your business, your voice, and your priorities. The rest of our team backs them up, so you’re covered if they’re out.

That’s where the team model helps. Your work is documented in our systems, not stored in one person’s head, so someone else can step in without you re-explaining everything.

We work on a weekly rhythm with regular check-ins and updates, so you always know what’s done and what’s next.

We keep you informed without flooding you with updates. You’ll know what’s done, what’s in progress, and what needs your attention. One of our core values is “Run with it and keep me in the loop.” You stay informed without becoming the bottleneck.

We’d rather have an honest conversation early than drag out something that isn’t working. If it’s not clicking, we’ll say so and figure out the next step together. We don’t lock clients in.

Yes, and it usually does. Most clients start with one area and add more as trust builds and we learn the business. What you need in six months may look different from what you need today, and that’s expected.

Can you support multiple locations at the same time?

Yes. Our longest-running client has two locations in two states, and we’ve supported both for more than eight years with the same team and the same systems.

Yes. We have direct experience supporting franchise operations, including franchisor reporting schedules and brand standards across locations.

Most of our experience is on the franchisee side, working with owners who run locations day to day. We take on the operations and admin work so you’re not stuck in the middle between your franchisor and your team.

Do you have experience with ERP or inventory systems?

Yes. Our team includes people with direct manufacturing and logistics experience, and we learn whatever systems you use, whether that’s an ERP platform, inventory software, or spreadsheet-based reporting.

Yes. Vendor communication, purchase orders, and supplier coordination are a core part of our manufacturing support.

Everything we do is remote. Most of the operations and admin work manufacturers need doesn’t require someone on the floor. It requires someone organized, responsive, and on top of your systems. That’s where we come in.

We’ll need access to the systems where the work happens. If we’re managing your inbox, we need inbox access. If we’re working in your ERP, we need access that matches the scope we agreed on. We’ll always go over what’s needed before we start, and we never ask for more than the job requires.
